What this portal does

The HBCU Portfolio Dashboard gives a growing network of HBCUs one shared, standardized view of enrollment, retention, graduation, student success, finance, faculty load, and Title III activity — combining live federal data with each campus's own operational reports, while letting each school decide how much data ever leaves its campus.

Two-layer design

A public comparative layer refreshed from federal data, plus an institution-facing operational layer fed by each campus's own reports.

Eight campus dashboards

Enrollment, Admissions, Retention & graduation, Student success, Faculty load, Financial aid, Budget & finance, and Source fields — the same model for every school, in each school's colors.

Flexible data delivery

Manual uploads, a scheduled network-drive feed, or figures-only campus processing where source files never leave the campus.

Exports everywhere

CSV on every table; PowerPoint, Word, and PDF per dashboard; one consolidated document across all dashboards.

Built-in governance

Row-level security, institution-scoped access, a five-administrator cap, a protected owner, feed-key management, and feed health alerts.

Uses by stakeholder

Each role below gets a purpose-built view of the same governed data.

Presidents & Chancellors

  • One-page institutional profile: enrollment, retention, graduation, cost, aid, and financial health at a glance.
  • Peer comparison against true peer institutions filtered by sector, degree level, state, and enrollment band — no undifferentiated rankings.
  • Board-ready exports of every dashboard in PowerPoint, Word, or PDF, plus a consolidated all-dashboards document.
  • A portfolio executive view across the whole network for consortium-level decisions.

Provosts & Academic Leadership

  • Retention and graduation dashboards with cohort definitions, source years, and equity cuts.
  • Student success views: credit hours, GPA, top majors, home states, Pell and first-generation shares, sliced by year and cohort year.
  • Faculty load by department with term, school, department, and faculty filters.
  • Admissions funnel: applications, admits, yield, and enrollment by program.

Institutional Research & Effectiveness

  • Live federal figures from IPEDS and College Scorecard, refreshed and cached, limited to the schools in the roster.
  • A three-way source selector on every dashboard: federal data, campus files, or both.
  • Source fields dashboard showing exactly which file, column, and definition feeds every metric.
  • CSV export of every table for further analysis.

Title III & Grants Officers

  • Grants & Title III dashboard tracking awards, objectives, and activity status across institutions.
  • Formatted grant reporting exports for funders and internal review.
  • Data quality flags that surface gaps before reporting deadlines.

CFOs & Budget Officers

  • Budget & finance dashboard from the campus general ledger: pacing, variance, and status by department.
  • Financial aid dashboards: awards by term, aid mix, and year-over-year variance.
  • Net price, Pell share, and financial health indicators in every institutional profile.

Enrollment & Admissions Teams

  • Enrollment trends including a provisional current-year point ahead of federal reporting.
  • Registration matching: who is registered, who has not yet registered, and course-load distribution.
  • Admissions funnel detail by term and program to target outreach.

IT & Security

  • Figures-only delivery mode: a campus script computes totals locally and sends only aggregate counts and rates — source files never leave campus, nothing is archived off-site.
  • Automated network-drive feed: a scheduled Windows script sends designated CSVs on a schedule the school controls, with hashed, revocable per-school feed keys.
  • Feed health watchdog: alerts on missing, late, or unusually changed deliveries.
  • Institution-scoped access: staff see only their own school's data; access is tied to verified institutional email addresses.
  • Optional AWS S3 archive copy, switchable on or off by an administrator.

Campus Staff (Authorized Users)

  • Sign in with a school email and land directly on your institution's pages — no cross-school visibility.
  • Upload flat files straight into the school profile; they are stored, previewed, and included in dashboards and exports.
  • Campus dashboards styled in your school's own colors.

Network Administrators (Consulting & Oversight)

  • Administrator access across all schools with a five-administrator cap and a protected permanent owner.
  • Data architecture and governance page documenting sources, refresh cadence, and retention.
  • Per-school delivery mode control: files or finished figures only, switchable at any time.
  • One-step removal of a school's stored files when a school changes modes or leaves the network.
Access is limited to approved staff signing in with their institutional email address. To join the network or request a walkthrough, contact the network administrator.
